INTAKE: The Intake module performs client intake/registration and discharge (“opening and closing contacts”), and keeps a central contact history file of all client records on the system, active or inactive. This central file can be searched by name (full, partial, or Soundex spelling) or number (client’s unique ID#, SSN#, DL#, etc.). If a prior client record exists, it is activated with a new contact file number, and existing demographic information can be confirmed instead of re-entered. If no prior record exists, a new unique client ID number is assigned with the first contact file number under that.

LEGAL CASES: The Legal Orders (Sentences and Requests) module is used to track and record all legal events surrounding a client’s legal case. Legal events may include arrests, district attorney reviews, court appearances, court convictions, sentences or any other kind of related event your agency might need to track.

PROGRAMS AND SERVICES: The Programs & Services module refers offenders to specific programs or services developed to meet the community services needs of clients. Programs & Services handles client scheduling for assigned programs, and tracks client attendance and performance against user-defined objectives and measurement criteria. Each client’s program history is available for easy reference, and current client schedules are available on-screen when placing a client in a new program to make it easy to find a session that fits.

PAPER FILE TRACKING: The Paper File Tracking module tracks the whereabouts of original client paper documents. Paper files are stored against the client’s Unique ID number, not the Contact number. Each file is identified by type and sub-type (agency definable) and by a series of up to four numbers.

CASE MANAGEMENT: Syscon Elite Community allows community corrections supervisors to effectively monitor each client. Syscon’s extensive suite of case management tools includes assessments, case planning, case notes/contact log, scheduling and substance abuse monitoring. The agency can build its own questionnaires within Elite for each different type of client assessment performed at the agency’s site, then use the scored outcomes to assign levels of supervision to clients. Syscon’s Elite can also be integrated with a variety of 3rd party assessment tools, such as the LSI-R®.

CASE PLANNING: The primary purpose of a case plan in Elite Community is to outline rehabilitation goals for each client and the steps that need to be taken in order to achieve each goal. In some cases, a goal is set for a client in order to demonstrate that he/she is meeting the conditions of the sentence. In other instances, a goal is set in order to meet the recommendations of an assessment questionnaire that the client has completed.

INTEGRATED WORD PROCESSING: Syscon’s Integrated Word Processing seamlessly integrates Microsoft Word with the Elite database to produce client-specific documents commonly used by supervisory agencies. The IWP module allows for the creation of documents and forms pre-filled with client data directly from the Elite database. These documents might include pre-sentence reports, violation reports and warning letters. After the document is generated, it is saved to the same database where it becomes a permanent part of the client’s record.

WORKLOAD MANAGEMENT: The Workload Management module assigns or re-assigns clients and their associated work to staff members at community offices. Once an offender record is active as a community contact (Intake module) and sentences or requests have been administered (Legal Orders module), client work can be assigned to any staff member at any location based on agency requirements. A set of inquiry screens allows line staff to monitor their own workloads and managers to monitor the workloads of those they supervise. Staff can also transfer entire officer caseloads, individual client records or specified work within a record, to another officer at the same location or to anywhere else in the agency.

Available Modules

Intake // The Elite Intake module performs client intake/registration and discharge (“opening and closing contacts”), and keeps a fully searchable central contact history file of all client records on the system, active or inactive.

Orders & Conditions // In Syscon Elite, all the legal information on court orders is grouped together as a ‘legal case’. A legal case can include everything that happens as a case passes through the legal system—arrests, court appearances, convictions, pre-sentence reports and/or sentencing conditions for community clients. The Track Community Service Progress screen is used to track the client’s progress on any community service hours he/she must serve as part of a sentencing condition.

Reports are vital to the efficient management and functioning of supervising agencies. The Elite system includes a number of standard operational and management reports.

Image Capture // The Elite Imaging module is fully integrated into Elite and requires no imaging subsystem. Multiple images of clients (face, profile, physical marks) can be recorded using a standard video or digital camera and color monitor.

Community Financials // Syscon Exact Community Financials is a GAAP-compliant comprehensive financial management tool that manages and tracks all offender/client obligations.

Workflow // The Elite Workflow Engine is an automated driver of workflow processes. The messaging module allows for the generation of messages and work items via a series of custom database triggers and timer events. Each Elite user will have the ability at any time to pull up a screen which displays all their messages or work items. Messages in Elite Workflow are directed to pre-defined officers assigned to that case. All generated messages will be stored directly in the client’s record.
